Welcome to the Brussels Rent terms and conditions page. This page contains important information and details of the rental terms and conditions that you should be aware of before renting a property through our agency.

Rent of your apartment

The monthly rent for the apartment you wish to rent can be found on the description of the apartment in question. The monthly rent shown on our site includes furniture for a standard rental period of one year.

For example, for a one-bedroom apartment, the price indicated on the listing is 800€. This includes the rent for your apartment + furniture rental.

However, utilities such as water, electricity and heating are not included in this total rent.

Utilities calculation

It’s important to note that service charges are not included in the monthly rent and must be paid separately. Charges include the cost of hot and cold water, gas and electricity, as well as the cost of maintaining the building’s common areas. We recommend that you set aside an additional budget for these charges to avoid any unpleasant surprises.

Charges are calculated on the basis of your actual consumption and are invoiced at the end of each month. A meter reading will be taken and the corresponding costs will be communicated by e-mail, together with the current market rates.

Rental Conditions

The candidacy

The application must include all the information needed to verify your identity and assess your solvency.

  • Proof of identity
  • Proof of income (3 months or other)
  • Any other proof you deem necessary (replacement income, independent income, contract, etc.)

Guarantor(s): If you feel that your application is not strong enough, it may be advisable to support it with documents from one or more guarantors. In this case, please provide us with the same documents for any guarantors.

All information provided will be treated confidentially and will only be used in connection with the application to rent a property.

Entrance expenses: guarantees required

A rental guarantee of 2 months rent : This covers any structural damage to the apartment.

Furniture guarantee: The amount of this guarantee covers any damage that may be caused to the apartment’s furniture. The amount depends on the size of the furnished apartment. Our agent will inform you of the amount in the offer form.

Meter guarantee: This €400 deposit is required in apartments where the owners keep the energy contracts in their name. This guarantee covers unpaid utilities.

All the above-mentioned guarantees are refundable, subject to the condition of the apartment on check-out.

Administration fee (not refundable) : A one-off administration fee of €150 will be charged on arrival, covering the cost of the inventory of fixtures on arrival and departure.

Reservation of the apartment

You can reserve an apartment with Brussels Rent for a maximum period of 4 weeks. Once you have visited the apartment and submitted your application, you will be asked to make a reservation by paying a deposit of €200. Once payment has been received, you will receive confirmation of your reservation by e-mail from Brussels Rent.

If you honor your reservation, the 200€ will be deducted from your first rent. However, please note that if you cancel your reservation, the 200€ will not be refunded.

Check-in

In order to finalize your entry and receive the keys to your future apartment. It is imperative that all the steps below are completed:

  • Payment of guarantees
  • Payment of application fees
  • Payment of 1st rent

These various payments must be received before the agency can give you the keys.

You have several options for making these payments:

  • By bank transfer
  • Payment at the agency (Bancontact/Cash)

Contract signature and handover of keys

The documents will be signed and the keys handed over at our agency. During your discussions with our agent, an appointment will be arranged for this important step.

At this meeting, you will be asked to read and sign the following documents:

  • Rental contract for the apartment/furnished property.
  • Pre-prepared inventory of fixtures.
  • General terms and conditions of use.

If the payments have been made and the documents duly signed, our agent will give you two sets of keys for your apartment.

He or she will also accompany you to your new home for a brief inspection of the state of the property. During this visit, our agent will explain the procedure for submitting any observations you may have, so that they can be incorporated into the document if necessary.

Inventory of fixtures

The inventory of fixtures for the owner’s part is carried out prior to your entry, and all observations are recorded in a document that will be given to you when you sign the contract.

Our agent will guide you through this document and explain the procedure for adding your own remarks. A specific document will be provided for this purpose, and you will be given a deadline to complete this process.

It’s crucial that you complete this check by including all the necessary notes and photos. We’ll carefully review your comments and incorporate them into your inventory. A final PDF version of the statement of condition will then be e-mailed to you, and your signature will be required. This version will constitute the final inventory of fixtures.

Check-Out procedure

Notice of departure

Every rental contract includes a notice period. In the absence of notice of termination from the tenant, the contract is generally automatically renewed on the same terms as the original, unless otherwise stipulated in a specific clause.

It is therefore essential that you send us your notice of termination in good time, either by e-mail or registered letter, in accordance with the instructions in your contract.

Once we have received your notice, all you have to do is contact us as soon as possible, and no later than one week before the end of the rental contract, to arrange a date for the exit inventory of fixtures.

Exit inventory of fixtures

The inventory of fixtures is carried out in your presence in the apartment. Our agent will go through your entire property, noting any relevant observations and taking photos. Once he has completed his work, he will present you with a summary of any items added.

These documents must be signed, and you will keep one version for yourself, while the other will be given to the owner of your apartment.

Reimbursement of your guarantees

Within ten days or so, our agent will contact you by e-mail to inform you of the amount of your guarantee reimbursement, together with details of the amounts involved. Once we have received your confirmation, the refund will be made to the bank account of your choice as soon as possible.
